EXECUTIVE ASSISTANT
Under the overall direction of the Director and Chief Executive Officer (CEO) and routine guidance from the Chief Administrative Officer (CAO), the Executive Assistant performs, coordinates, and oversees technical and office administrative duties in support of the Louisiana Cancer Research Center (LCRC), including the provision of varied and complex office duties and providing highly sensitive and confidential support to LCRC’s key executives.
Among the key duties are:
• Provides high-level administrative support to the CEO in furtherance of the strategic efforts of LCRC
• Manages various administrative duties for other key executive(s), including Chief Administrative (CAO) and Chief Financial Officer (CFO). Oversees the daily administrative operations of the Louisiana Cancer Research Center
• Manages executives’ calendars and schedules, and managesmeetings
• Coordinates, schedules, preparesagendas, assemble supporting materials, and records meeting minutes
• Arranges travelaccommodations, including flights, hotel reservations, and groundtransportation, and handles other related accommodations as needed
• Collects documents and receipts, prepares travel and expense reports, and secures reimbursements
· Receives and screens communications to the CEO and other executive(s), including telephone calls and e-mail messages, and provide assistances using independent judgment to determine those requiring priority attention
· Serves as point of contact; prioritizes, channels, and facilitates communication with LCRC’s Board of Directors (Board), governmental officials, and other stakeholders
• Schedules and manages logistics for LCRC’s Board and Committee meetings; attends meetings and takes and transcribes minutes
· Assists in developing and/or recommending office processes, procedures, and systems to assure the efficient operation of the administrative office
• Drafts, reviews, andedits correspondence, memos, reports, and other documents
• Independently responds to letters and generalcorrespondence of a routine nature
• Assists with special projects and initiatives,coordinating and collaborating with various stakeholders across LCRC
• Acts as the initial point of contact on behalf of the CEO andother executives
• Researches and analyzes routine administrative projects and preparessummaries
• Receives and distributes incoming mail; reviews and evaluatesmail to identify those items requiring priority attention
• Performs related duties as needed
Required Qualifications and Skills:
Education and Experience:
· A minimum of two (2) years of college-level coursework in business, administrative, general studies, office technology, or a related field and, three (3) years of experience as an executive assistant, administrative assistant, office manager, or related experience
Qualification Substitutions:
Bachelor's degree from an accredited institution and a minimum of two (2) years of experience in an executive support or administrative management or related experience; a minimum of five (5) years of office administrative or related experience; or an equivalent combination of education and experience may substitute for the required qualifications.
